Organize asset, location, visible condition, contributing context, action and verification. This template keeps the visible record, required verification and responsible follow-up together.
TruInspector editorial team · Reviewed October 8, 2026
Organize asset, location, visible condition, contributing context, action and verification. Start with the exact inspection purpose and location, document only what the submitted evidence supports, and keep measurements, testing or professional determinations clearly marked for field review.
FIELD WORKFLOW
Use this template
1
Identify the drainage asset, upstream/downstream context and verified location.
2
Capture the opening or flow path plus a wider contributing-area view.
3
Describe visible debris, erosion, displacement or standing water without guessing capacity.
4
Record weather, recent rainfall and access limitations when relevant.
5
Identify cleaning, CCTV, survey, hydraulic or structural follow-up separately.

DOCUMENTATION EXAMPLE
A finding that stays within the evidence
Asset or area
Storm drain inlet
Visible condition
Sediment and vegetation visibly cover part of the inlet opening. The image does not establish pipe condition, hydraulic capacity or the full obstruction extent.
Recommended action
Verify the opening and flow path on site, remove material using the approved maintenance method and document the cleared condition.
Make the report easier to review
Use a short finding title, identify the exact location and place the strongest evidence beside the written observation. Explain the recommended next step in practical order: verify, make safe when needed, correct the confirmed condition and retain completion evidence.
Keep sources tied to the finding
Record the jurisdiction, adopted edition, contract, company procedure or customer-supplied requirement that applies. A source link helps the reviewer locate the material; it does not prove that every requirement applies to the photographed condition.
State what the evidence cannot prove
Photo review cannot confirm underground condition, hydraulic capacity, concealed damage, water quality or system performance.
